Private dictation for lawyers and client privilege

Private dictation for lawyers means client notes and letters get transcribed and cleaned up on your device, not on a server you do not control. Parlo transcribes with Apple's on-device speech engine, cleans up filler words with an on-device model, and keeps history encrypted at rest, with end-to-end encrypted iCloud sync on by default.

Lawyers dictate client notes, call summaries, and draft letters constantly, and where that audio and text go matters more than for most dictation. This guide covers how Parlo handles that, and what it is not a substitute for.

How does private dictation protect privileged communications?

  1. Dictate a note right after a call or a meeting, from the iPhone keyboard or the Mac hotkey, while the details are still accurate in your memory.
  2. Parlo transcribes and cleans the text on your device, removing filler sounds and applying spoken formatting commands like "new paragraph."
  3. The note lands in your feed or Notes window, encrypted at rest, ready to copy into a file or a letter.

Nothing in that flow requires sending audio to a server you do not control. Transcription runs with Apple's SpeechAnalyzer and SpeechTranscriber, both on-device, and cleanup runs with an on-device language model.

What happens to the audio after you dictate?

It is discarded. Parlo captures audio, transcribes it, and does not keep a copy, on the device or anywhere else. There is no recording of a client call or a meeting sitting somewhere waiting to be secured or deleted later, because it was never kept in the first place.

Where does the resulting note live?

Setting Where the note ends up
History sync off, or not signed in with Apple Only on the device where you dictated it, encrypted at rest
History sync on (the default) Encrypted on your device, then stored as ciphertext in your private iCloud database
Deleted note Moves to a device-local trash for 30 days, never synced
No account, no server of Parlo's Your content is not held anywhere Parlo controls, with or without sync on

There is no Parlo account and no server of Parlo's holding your notes. iOS offers optional Sign in with Apple for sync identity; Mac keys off the system iCloud account already signed in on that machine. If you never sign in, or if you sign in but turn the sync toggle off in Settings, the note stays on the device where you dictated it.

Is Parlo a substitute for your firm's compliance review?

No. Parlo has not been HIPAA certified. This page is not legal or compliance advice, and it does not tell you whether using Parlo satisfies your bar's confidentiality rules or your firm's own policy on client information. Processing is on-device, and history sync is end-to-end encrypted through your private iCloud with an off switch in Settings, which describes how the apps work, not whether that is sufficient for your specific obligations.

How does a custom dictionary help with case names and terms?

Add case names, party names, and recurring legal terms once, in the iPhone app's Settings under Dictionary. Those terms feed the keyboard's autocorrect, which reduces how often an unusual name gets mangled during transcription and needs a manual fix afterward.

How does dictation compare with typing notes by hand?

Typing a note after a call still takes attention away from what you actually want to capture, and details fade the longer you wait. Dictating right after a call, from either the iPhone keyboard or the Mac hotkey, gets the note down while it is accurate. The on-device cleanup pass means you are not starting from a wall of filler words and false starts when you go back to edit it into something you would actually file.

What if you dictate on both iPhone and Mac?

The custom dictionary is iPhone only and feeds the keyboard's autocorrect there. On iPhone, tap the mic in the Parlo keyboard, speak, and swipe back to insert the note. On Mac, hold Option, speak, and release, and the note pastes at your cursor in whatever document or system you were using. History syncs the same way between both, if sync is on: end-to-end encrypted through your private iCloud.

Saying "new paragraph" breaks a dictated letter or memo into sections as you speak, and "parentheses ... end parentheses" marks an aside, so you are not reformatting a wall of text afterward. Both apply through a deterministic pass, so they still work even when the on-device cleanup toggle is off. "Quote" and "end quote," for marking a client's own words, a witness statement, or language from a document as a direct quote, need the cleanup model turned on.

How does this compare with Apple's built-in dictation?

Apple's dictation types what you say into any text field already, and Apple's privacy page for Ask Siri and Dictation describes audio and transcripts as processed on-device or sent to Apple's servers, depending on your device, language, and a setting you can check yourself. Parlo's transcription and cleanup run on-device every time, and Parlo adds a searchable history and a custom dictionary that Apple's pages do not describe as features of Dictation itself. Neither app publishes an accuracy number, so trying both on your own vocabulary is the fair way to judge which fits a specific matter or practice area.

What does it cost to try?

Nothing during the beta. There is no account to create and no subscription. Install Parlo for iPhone from the public TestFlight link, or download Parlo for Mac from the beta page. It is a beta, so expect rough edges, and reply to beta@parlokey.com with anything that looks wrong before you rely on it for anything privileged.

Frequently asked questions

Does using Parlo satisfy my bar's confidentiality rules?

This page does not say. Parlo has not been HIPAA certified, and this page is not legal or compliance advice. Check your own obligations before you dictate privileged information.

Does dictating a note send the audio to a server?

No. Audio is captured, transcribed on your device, and discarded. Parlo never stores a recording of a call or a meeting.

Can you keep dictation history off iCloud entirely?

Yes. Turn off history sync in Settings, or do not sign in with Apple, and your notes stay only on the device where you dictated them.

How does Parlo handle case names and legal terms?

A custom dictionary in Settings lets you add case names, party names, and terms once, feeding the keyboard's autocorrect.

What happens if you delete a note by mistake?

It moves to a device-local trash for 30 days before it is gone for good. The trash is never synced to iCloud.

Is the beta free to try?

Yes. Both apps are free during the public beta, with no Parlo account required to install either one.
